   Well, the features of the PMI Evidence Tracker™ can help you do exactly that.  Our powerful evidence management system is a full turnkey tracking system specifically created to automate the control of police evidence and department equipment. The key to the program is the use of barcode technology to manage and track evidence and department assets, thereby saving you a great deal of time and effort.  Imagine scanning barcodes instead of handwriting or typing information to quickly retrieve records or process items in and out of your property room.  Our site license allows you to install the software on your server and access the program from any work station on the network without additional fees.

 

The Evidence Program

    The evidence portion of the PMI Evidence Tracker™ system can help you be more efficient in a number of ways.  Each piece of evidence is identified with a special label that is nearly indestructible and designed to last for years.  The label contains all the important information about the item along with barcodes encoded with the case number and the tracking number. The barcodes are used to facilitate adding other pieces of evidence with the same case number, as well as, moving items in and out of the evidence room, creating receipts, performing searches and conducting complete audits.  Equally important is the addition of a Portable Data Terminal that enables you to conduct an automated inventory of your property room saving you lots of time and effort.  The program and Portable Data Terminal create an environment where an audit can be completed in hours by simply scanning barcodes.

   Safety and security can be a crucial issue for police departments, which is why the PMI Evidence Tracker includes an automated chain of custody with a time/date stamp for each piece of evidence.  The software also has password protection to control access to the various parts of the program. The system administrator can assign a unique username and password to each officer and authorize which parts of the program he or she can access. 

   In our newest edition, we have added an Activity Log that will report every entry and change made in the program by an each user.  Also, you will find two customizable user defined fields, a 90-day evidence review and the ability to include a photo of a piece of evidence for quick reference.

 The Asset Program

   The asset portion of the PMI Evidence Tracker™ system includes features such as assigning a category, manufacturer, model, acquisition date, assigned to, value and a detailed description of each piece of police property.  You can enter and label everything from guns and cruisers to desks and computers, thereby keeping track of who has what item and where the items are located.  You can create standard asset reports and receipts, or even use our newest feature, which allows for custom asset reporting.  The optional Portable Data Terminal can also be used for conducting an audit of your police department equipment.

 System Requirements

   The software will operate on any computer system running Windows 95, 98, NT, XP, 2000, on a single user PC, peer-to-peer network, or network server.

  The System

 Administrator

The system administrator controls who has access to the different portions of the program.

The Administrator can assign a user name and password to individuals and authorize which parts of the program they can access.

The Evidence Log

The Evidence Log is a single input screen; simple to follow and easy to use.  Note the 5 mandatory red data boxes.

 

The computer assigns a unique Tracking Number in order to keep track of each particular piece of evidence. 

The Barcode Label

A custom-made barcode label is applied to each piece of evidence.  These labels are used for easy identification of the item, scanning the item in and out of the property room and numerous other purposes.

  The Asset

 Management Log

The Asset Management program, allows you to organize, barcode and track assigned equipment and/or other department property.  A custom-made barcode label is printed and attached to each item for tracking and inventory purposes.

Audit Reports

 The Chain of Custody Log enables you to control and accurately track evidence as it progresses from collection to final disposition.  When using the Log, evidence is automatically time/date stamped for accuracy. You can also enter specific information about the movement of the piece of evidence, thereby establishing a well documented chain of custody trail.  The computer determines whether a piece of evidence can be checked in or out depending on its status.

  While there are some standard pre-programmed reports, there is also a Custom Report option.  This reporting feature is designed to enable you to create various reports using many of the data fields located in the Evidence Log.  

  The Custom Report option can be an invaluable tool allowing you to create reports based on different criteria, such as cases involving specific weapons, particular officers, determined periods of time, or even certain offenses.

  Random audits can be scheduled in days or months.  You can also select the interval between audits and the number of items included in each audit.  The system will automatically Notify you when the next audit is due. This program satisfies property room management, IAPE and CALEA requirements.

The Extras

The PMI Evidence Tracker™ also includes:

  • The ability to print receipts using the automated tracking number(s) or the case number.  Receipts may be used for any reason such as the return of property, executing a destruct order, lab testing, court trial or whenever a signed document is required to show proof of transfer.  To create a report, enter the appropriate case number or tracking number(s) and run your report.  The report will have all relevant information on the receipt as well as a signature area.

  • Standard reports such as : Case and Custody, Cases Out, Archived Case and Custody, Inactive Cases, Disposition and Property receipts.  The program also has some formatted Custom Reports based on feedback from our customers and their common needs and uses.

  • A single site license which allows for multiple users.  Most other companies offer programs that require multiple, renewable license fees that cost additional hundreds of dollars, and most importantly, they never tell you about up front about them  The PMI Evidence Tracker has only one licensing fee for your site and it is included in the package cost; there is no additional cost or need to renew.
